Conveyancing Legal Secretary/Assistant

We are looking to recruit a Conveyancing Legal Secretary/Assistant for a permanent opportunity with a well-established law firm based on the outskirts of Birmingham city centre.

This role will be providing 1-2-1 support to a conveyancing fee earner, helping them to manage their caseload, and assisting from start to finish in all aspects of the sale and purchase of residential properties.

Working hours are 35 hours per week, Monday to Friday, based full-time in the office. Occasional working from home may be possible.

Key tasks of the role include:

  • Opening, updating and closing matter files and recording client data, using our electronic case management system.
  • Taking initial enquiries and passing details to fee earners.
  • Carrying out all identity and AML checks when opening a file.
  • Using workflow templates to create and issue correspondence, documents, and forms.
  • Preparing contract packs.
  • Carrying out searches.
  • Ordering redemption statements.
  • Exchanging contracts and organising completions.
  • Preparing bills and the financial documentation.
  • Post completion work, including preparation of Stamp Duty Land Tax Returns, drafting applications to the Land Registry, deeds schedules, etc.
  • Point of contact for internal and external callers, taking accurate messages and passing them on to the relevant fee earner as soon as possible.
  • Updating clients and agents with efficiency and politeness throughout the process.
  • Carrying out copying, printing and scanning as required.

What they are looking for:

  • At least 3 years’ experience working in a busy Residential Conveyancing Department, to include both sales and purchases.
  • Experience of the full conveyancing process, from start to finish.
  • Experience of using the land registry portal, HMRC portal and LMS.
  • Experience of working with a case management system ideally with automated workflows built into it. Experience of Tikit and/or BigHand would be advantageous but not essential.
  • Excellent organisation skills, with the ability to manage a busy workload.
  • Excellent IT skills with the ability to pick up new systems quickly.
  • Displays a can-do, positive attitude to work, and a high degree of self-management.
  • Excellent communication skills, both written and verbal.
  • Excellent attention to detail
  • Proven ability to work to deadlines.
